Joy Prom Piedmont-Triad is an annual prom created especially for individuals in our community with different abilities and disabilities. Established in 2015, Joy Prom welcomes guests ages 16 and older with physical, developmental, and intellectual disabilities for an evening of celebration, friendship, and fun.

Serving as a Host or Hostess is our most important—and most rewarding—volunteer role. Each volunteer is paired one-on-one with a guest and serves as their companion throughout the evening. Hosts and Hostesses escort their guest to activities, encourage participation, help them navigate the event, and most importantly, build genuine connections while ensuring their guest feels welcomed, included, and celebrated.


This role requires a full-evening commitment. Hosts and Hostesses must remain with their assigned guest at all times and may never leave a guest unattended or transfer responsibility to another volunteer without approval from the Joy Prom leadership team. Volunteers are required to remain at Joy Prom until 10:00 PM or until their guest has been reunited with and picked up by their parent or caregiver, whichever is later. Because guest safety is our highest priority, volunteers who leave before their guest has been properly checked out and reunited with their caregiver will not be eligible to volunteer with Joy Prom in the future.


Background Check Requirement (Ages 18+)

After registering, you will receive an email with instructions for completing a background check through Sterling Volunteers. All Hosts and Hostesses who are 18 years of age or older must have a Sterling Volunteers background check completed within the past 12 months.

YOU WILL RECEIVE AN EMAIL ONCE YOUR BACKGROUND CHECK HAS BEEN MARKED AS CLEAR.   

AFTER RECEIVING THIS EMAIL, YOU WILL NEED TO COMPLETE YOUR VOLUNTEER REGISTRATION VIA THE LOVE OUT LOUD/BASE PLATFORM (where you are now).

REGISTRATION DOES NOT AUTOMATICALLY UPDATE ONCE YOUR BACKGROUND CHECK IS CLEARED. 

YOU MUST COMPLETE THIS STEP IN ORDER TO BE FULLY REGISTERED AS A VOLUNTEER. 

The background check costs approximately $18, and we ask volunteers to cover this expense whenever possible to help ensure Joy Prom remains a safe environment for both our guests and volunteers. Joy Prom is a volunteer-led organization, and the event is made possible entirely through the generosity of donors.

If the cost of the background check presents a financial hardship, please email info@joyprompiedmonttriad.org. We never want cost to prevent someone from serving, and financial assistance is available. Simply select the option to decline payment when completing your background check, and we will gladly cover the cost.

Volunteers are welcome to wear cocktail or formal attire but are not required to.

Suggested attire:

Red Carpet Cheering Crowd

This is one of our favorite family friendly volunteer opportunities!

Joy Prom Piedmont-Triad is an annual prom created especially for individuals in our community with different abilities and disabilities. Established in 2015, Joy Prom welcomes guests ages 16 and older with physical, developmental, and intellectual disabilities for an evening of celebration, friendship, and fun.

One of the most memorable moments of the evening is when each guest walks the red carpet. As a member of the Red Carpet Cheering Crowd, your job is simple—but incredibly meaningful. You'll line the red carpet, clap, wave, and cheer as each guest is announced, making them feel like the star they truly are. Some guests request a silent cheer, in which case you'll simply wave and smile without clapping or shouting.

Time Commitment

Arrival: 4:45 PM (to allow time for volunteer check-in)

Be in Position: No later than 5:30 PM

Volunteer Shift Ends: Once the final guest has walked the red carpet (approximately 7:00PM - 7:30PM)

Please note: The red carpet has historically opened 5–10 minutes earlier than the published start time when possible so all volunteers must be in place no later than 5:30 PM in order to receive instructions/guidance.

Registering as a Family or Group

If you are volunteering with your family or a group, please select "Respond as Team" when registering. You may use your last name or any team name you'd like. Register yourself first, then add each additional volunteer so we can prepare a name badge for everyone attending.

Volunteers Ages 5–13

Children ages 5–13 are welcome to volunteer for this opportunity only.

To ensure our guests remain the focus of the evening:

Children and any volunteers under the age of 14 must be accompanied by a parent or guardian at all times while on-site.

Children must be able to follow directions, stay OFF of the red carpet in areas where there are no ropes, and participate appropriately throughout the event in order to participate

Because our guests are the stars of the evening, children should not require constant supervision that would distract from the event.

Children who are prone to running away, frequent outbursts, or behaviors that may disrupt the experience for our guests should NOT participate in this volunteer opportunity.

Any volunteer, adult or child, whose behavior distracts from our guests or is otherwise inappropriate may be asked to leave by any Joy Prom Leadership Team member.

After the final guest has walked the red carpet, families with children are asked to depart the stadium immediately.

Red Carpet Volunteers are not permitted to walk through the prom area after the prom has begun.   This is for crowd control/safety purposes.   If you are wanting to volunteer at Joy Prom for the entirety of the event, please sign up to volunteer for a different volunteer opportunity,

Children are not permitted on the dance floor or to walk through the event venue during the remainder of the prom.

Attire

This area is often featured in photos and has historically been livestreamed by local media, so appropriate attire is important.

Volunteers are welcome to wear cocktail or formal attire but are not required to.

Suggested attire:

Women and girls: Dress or dress pants with a nice blouse

Men and boys: Collared shirt with slacks (ties are optional)

Our Dining Room & Food Prep volunteers help create a welcoming dining experience by ensuring food and beverages are prepared, stocked, and readily available throughout the evening. Volunteers may assist with serving food at guest stations, refilling drinks, monitoring beverage and water stations, clearing and resetting tables, replenishing supplies, and helping keep the dining area clean and organized so guests can enjoy their meal without interruption.

PLEASE PLAN TO STAY UNTIL 10:00 PM.   Volunteers are asked to remain in their assigned area until they are released by the Food Service Director to assist with cleanup and packing supplies at the conclusion of the event. 

Attire: Black pants or skirt with a black shirt.
